Convention, Conference & Corporate Event Headshots

The Boston Convention and Exhibition Center (BCEC) and Hynes Convention Center are the two anchor venues for large Boston conferences, and each has its own logistics quirks for an on-site headshot station. BCEC’s exhibit halls have ample 20-amp circuits and the ceiling height for a high-key strobe rig, but freight elevator access for our gear cart needs to be coordinated with the in-house Levy Convention Services team at least 5 business days before load-in. Hynes is more accommodating for late load-in (back-of-house entrance off Boylston, no freight pre-registration required) but power is more limited — for a full strobe setup, request a dedicated 20-amp drop on the Event Services Order Form when you confirm your space.

For Boston hotel ballrooms — the Westin Copley, Sheraton Boston, Marriott Copley Place, Boston Park Plaza, Renaissance Waterfront — the limiting factor is footprint, not power. We need 12′ × 12′ minimum for a clean backdrop with subject distance to compensate for slight zoom-lens compression; 15′ × 15′ is comfortable. Most hotel A/V departments add a $200–$400 power-and-lighting fee if you plug into ballroom circuits without coordinating; we always provide our own power conditioning and bring 100 ft of cable, so we just need an outlet or two within reasonable reach. Branded backdrops (sponsor logos printed on an 8′ × 10′ tension-fabric drop) take 7–10 business days to produce, so include that in the booking conversation if a sponsor is involved.

Throughput is the question every organizer asks first. For a 60–80-person half-day station, schedule the slot during a single concurrent breakout block (e.g., 10am–2pm covering one keynote plus lunch) so attendees come in waves of 15–20 every hour without overcrowding the queue. For 120–160-person full-day events, run the station continuously with a sign-in sheet at the front of the booth. Volunteer queue management from the conference team is unnecessary — we run our own iPad sign-in flow and send the gallery link directly to each subject’s email within 96 hours. For Massachusetts-based corporate clients, we deliver a Form W-9, Certificate of Insurance, and a written deposit/cancellation policy upfront, which usually clears procurement in under a week.

Many organizers want one group image of the team, board, or award recipients alongside the individual headshots. Schedule it first. The best window is right after arrival — before lunch, before the reception, before drinks have circulated. Groups are punctual and cooperative at the start of an event; an hour into a reception, assembling 30 people takes three times as long and the expressions show it. Decide the orientation before the day, too: a horizontal website banner and a vertical slide or profile card need different framing, and a group arranged for one rarely crops well into the other.

For groups of 20 or more, height variation matters more than the old tall-in-back rule. Hotel ballroom risers, lobby staircases, and tiered auditorium seating give it naturally; failing that, mix seated and standing rows and close every gap, because space between people reads as disconnection in the final image. Lens choice is the other quiet factor — a wide-angle lens fits a big group into a tight room but stretches the people at the edges, so we shoot group work in the 50–85mm range and ask for enough floor depth to step back.

Technically, a deep group needs f/7.1–f/11 to keep the front and back rows sharp, with focus set on the front third of the group, and at least 1/125s to freeze small movements. We shoot from a tripod in short bursts of ten or more frames and tell the group beforehand, so nobody relaxes after the first click. In any group over eight people someone blinks in almost every frame; with a locked-off camera, the best expression for each person can be composited into a single final image.
